Reducing admin and providing a professional candidate experience for Grant Thornton

Grant Thornton Limited is the Channel Islands member firm of Grant Thornton International Limited, one of the world’s largest networks of independent professional services firms providing Audit, Tax and Advisory services.

Grant Thornton’s skilled People & Culture team was struggling with admin-heavy processes to recruit for their ever-growing workforce. With so many workflow stages and people involved, time to hire was longer than it should be.

After implementing Pinpoint (which has a long history of providing recruitment software for financial services businesses), processes have been streamlined, the candidate experience has been improved, and recruitment admin has been significantly reduced.

Less recruitment admin

One of the People & Culture Team’s biggest time-drains was setting up interviews.

With so many (very busy) people involved in the hiring process, and many roles attracting a high volume of candidates, the team was spending significant time in back-and-forth email battles trying to find each candidate an appropriate space.

Using Pinpoint’s automated interview scheduling tool, the interview panel now books out time in their calendar, and the interview times are emailed to the candidates who can choose a time that suits them. It’s saved hours each week for the People & Culture Team.

Simple infographics within Pinpoint’s reporting feature help make understanding complex data simple. Reports ranging from time to hire metrics, to diversity and equality, insights are easy for the whole business to understand.

Finally, the intuitive design of Pinpoint made it easy for the entire hiring team to get on board with their new system. Training took just over an hour, and all hiring teams within the organization were actively using Pinpoint within just five weeks.

Streamlined internal processes for everyone

Excel spreadsheets were being used to track the applicant’s journey, which meant manually editing each candidate’s progression throughout the recruitment process.

The hiring team was struggling to keep candidates updated through the whole process and were drowning in emails. Having a process like this in place allows Grant Thornton to ensure that each touch-point with a candidate, is always on-brand, and always professional.

Grant Thornton was using recruitment advertising on various social channels to attract candidates, but the entire process was managed by their busy marketing function. Once Pinpoint was in place, the People & Culture team took end-to-end control of this, and saved a lot of time in a back-and-forth with other departments.

Now, they are able to easily edit template adverts themselves and automatically post to social networks. Results are trackable making it easy to prove ROI, and the only involvement they need now from their in-house marketeers is an image.

Each hiring manager has an account on Pinpoint, they can log in and see exactly where a candidate is within the process, along with any notes associated with their vacancies, a candidate scorecard report, and communications to and from the candidate. The entire recruitment cycle has been streamlined, saving time for the marketing department, People & Culture team, and individual hiring managers too.

A great experience at the point of application gives the candidate an insight into what working for a company might be like.
